Not every piano move needs a crate
A protected local move inside a piano-moving vehicle is different from a shipment that will be transferred to a freight terminal, warehouse, container or third-party carrier. Crating becomes relevant when the piano may be handled outside the original moving team's control, when the carrier requires a rigid enclosure, or when a long-distance route includes repeated transfers.
The first question is therefore not “How much is a crate?” but “Who will handle the piano after pickup, and what does that carrier require?” Ask the freight company for written packaging, base, forklift, dimension and weight requirements before approving a design. A crate that does not match the receiving carrier's process can create delay without solving the handling risk.
Information needed before a crating scope is confirmed
Send the piano make and model, upright height or grand length, pickup access, destination, transport method and the name of the next carrier. Photographs should show the complete piano, its underside or casters where practical, and the route out of the building. Grand pianos require separate planning for the body, legs, lyre, lid and other removable components.
Crate availability and construction scope must be confirmed after measurements and carrier requirements are reviewed. We avoid promising a generic crate from a listing photo because piano dimensions, base support and handling points vary. Very large instruments, unusual legs, existing structural damage or restricted access may require an on-site assessment or a different specialist.
Protection is a system, not just a wooden box
The piano must first be prepared so pressure is directed to suitable structural points rather than the finish, legs or delicate projections. Interior padding should limit movement without placing continuous force on vulnerable cabinet areas. The base and outer enclosure then need to suit the expected lifting and transfer method.
Moisture planning is route-specific. A sealed layer can be useful in some freight plans, but trapping existing moisture can also be harmful. Transit duration, season, container conditions and customs or warehouse delays should be discussed with the carrier. No packaging method can guarantee protection from every accident, water event or uncontrolled environment.
Upright and grand piano differences
An upright is usually prepared as one tall body, but weight concentration, casters, back posts and loose panels still matter. A grand is normally reduced to a protected body on a piano board, with removed components labeled and secured separately. The crate or shipping base must account for that prepared form rather than the piano's assembled showroom footprint.
If the piano will enter temporary storage before freight pickup, tell us at the beginning. Repeated unpacking, measuring and repacking can be avoided when the storage plan and freight handoff are designed together.
Carrier handoff and documentation
Confirm who is responsible for pickup, terminal delivery, freight booking, customs documents, insurance and final-mile delivery. Piano preparation and crating do not automatically include international shipping or customs brokerage. Written dimensions, photographs and condition notes help the next party identify what they are receiving, but each company remains responsible for its own contracted stage.
For a Toronto pickup, provide the freight deadline, terminal appointment rules and whether a forklift or loading dock is available. If the piano is first moving from a home or condo, review our grand piano access guide and moving documentation guide.
Requesting a realistic crating quote
Include the instrument dimensions, photos, pickup route, destination city or country, carrier instructions, target handoff date and any storage gap. We will confirm what part of the preparation can be provided, what remains with the freight company, and whether more information is needed before scheduling. That boundary is more useful than an instant price based on incomplete information.
